Importing Service Attendance into Elvanto

Moving from another database means you might have a tonne of service attendance records. We want you to retain that data so here’s how you can import it.

Service Attendance Import Format Options

There are two ways to import service attendance.

Option 1: Dates Vertical

Each field is separated by a comma, and each person is on a new line. Importing this way will allow you to import the following details.

  • Service Name

  • Service Date

  • Service Time

  • Service Date & Time

  • Service Type

  • Location

Option 2: Dates Horizontal

Dates Horizontal is a great way to import service attendance for multiple services at once. People are marked as attending a service if they have a ‘1’ marked for the column, otherwise they are not counted towards a service.

 

Here’s an example of the way a CSV file needs to be formatted before importing it into your account:

 

Each field is separated by a comma, and each person is on a new line. Dates of services need to span across the top and you need to enter a character (e.g: 1) in the columns of the services the person attended.

 

Custom Statistics

If you want to record things such as the number of baptisms, or if your previous system only recorded the total number of people attending your services, you’ll want to import Custom Statistics. First make sure that you’ve created the statistics in Elvanto under Settings > Services. This format can take both Reporting and Note fields.


Performing Your Import

To perform the import, log into your Elvanto account and navigate to the Admin Area. Navigate to Services Import. Once the page has loaded, select your import file to upload and then choose your date format. From here, you’re good to go! Click ‘Continue’ to start the import.

 

Your import file will then upload to our server. Depending on the size of your import file and the speed of your internet connection, this may take some time. From here, follow the prompts to complete the process.

 

Once your import is complete, you will receive a notification and a record of how many records were added.
