Users can hide fields from the Member Directory directly from their profile. For more details, see this article here.
Setting Up Opt-in for New and Existing Users
1. Access Member Directory Settings
- Login to your Elvanto Admin account.
- Navigate to Settings.
- Select Member Directory to access specific settings for this section.
2. Opt-in for New Users
- Scroll down to the ‘Other Settings’ heading.

Select the settings to automatically send newly created members an email to opt-in to the Member Directory.
- Note: The tokens sent in these emails only work once and expire within 2 weeks.
- Choose specific people categories if you wish to send these emails only to specific groups.
3. Opt-in for Existing Users
If opt-in was not enabled prior to adding people to the Member Directory, you can re-trigger the opt-in email by hiding and re-adding people to the Member Directory.
Steps to Re-trigger Opt-in Email:
- Generate a list of people to work with (e.g., use Advanced Search and filter by people who are showing in the Member Directory).
- Select the list of people and click on the ‘Mass Manage’ button.

In the Mass Manage window:
- Change People’s Field > Member Directory > Hidden
- Click the ‘Perform Mass Manage’ button to save.

Repeat the process to show the same list:
- Change People’s Field > Member Directory > Showing
- Click the ‘Perform Mass Manage’ button to save.
This will trigger an opt-in email to be sent to everyone with a valid email address in the Elvanto account.
4. Handling Users Without a Valid Email Address
For users without a valid email address, Elvanto will provide a warning. If you wish to add them regardless of opt-in, click the ‘click here’ link in the error message.
5. Understanding ‘Pending Approval’
Users with ‘Pending Approval’ are still considered ‘Hidden’ in the Member Directory. This means an opt-in email has been sent to them, but they have not clicked to accept.
6. Members Without Login Details
Users who respond to opt-in emails do not need to login to accept or decline the opt-in request.
Excluding Demographics from the Member Directory
- Navigate to Settings.
- Select Member Directory to access specific settings for this section.
- Select the demographics you wish to exclude from the Member Directory. Any member assigned to these demographics will not appear in the Member Directory.
