How to use People Flows

To create a People Flow that manages different processes within your church, follow these steps:

  1. Navigate to Flows:

    • Go to People > Flows.
    • Select ‘Add Flow’.
  2. Set Up the Flow:

    • On the next page, give the new Flow a name.
    • Set the Flow Administrators and specify the Location the flow is used in.
    • If needed, assign the flow to a particular demographic or demographics.
    • At the bottom of the page, set up optional reminder notifications for the flow and step admins.
  3. Configure Reminder Notifications:

    • You can set it to send an email, an SMS, both an email or SMS, or only send an SMS if the admin has no email address.
    • Set multiple reminder emails for the admins to remind them when a person is due or that people are overdue.
    • Once you're happy with all the settings, click the “Save” button to create the people flow.
  4. Add Steps to the Flow:

    • After creating the flow, click on the now visible “Steps” tab.
    • Click on the “Add Step” button to start adding steps.

Flow Step Setup

  1. Set Up the Flow Step:

    • When the Flow Step window opens, give the Step a name and a Description.
    • Enter the instructions that are to be followed in this Flow Step.
    • Set a Due Date and specify the number of days for ‘Hide Pending’.
  2. Enable Notifications:

    • Enable notifications so Step Admins can be automatically notified when a person is assigned to this step.
    • Note: All Step Admins are notified if a person is assigned to this Step but is ‘Unassigned’ to a Step Admin. If a person is assigned to the Flow Step and is assigned to a Step Admin, only the Step Admin is notified unless you have assigned a person to yourself in the Step.
  3. Assign Step Admins:

    • Add multiple Step Admins to this Flow Step who will carry out the required actions.
  4. Set Actions for the Step:

    • In this example, set up the Flow Step ‘Initial Email’ to send out an email template called ‘Welcome to Church’.
    • The ‘Actions’ set when a person is completed in the Flow Step is to move them to the ‘Phone Call’ Step of the flow.
    • Actions can be set and the method (Automated or Optional) selected here.

Adding People to the Flow

Once you’ve set up your people flow, you can start adding people. Simply click ‘Add Person’.
