Working with People Flows

In this article, we will walk through working with an already created People Flow. First, we will discuss how to add people to a People Flow and then how to add and edit the steps of the flow.

Adding People to a People Flow

There are several ways to add people to People Flows:

  • From within the People Flow itself
  • From a person’s profile
  • Using Mass Manage, a form, or another People Flow

From within the People Flow

To add people to a People Flow from within a particular flow:

  1. Click into a specific step of the flow.
  2. Press the Add Person to This Step button.
  3. Search for the person's name and add them.

From their Profile

To add someone to a People Flow from within their profile:

  1. Click Add to People Flow in the blue sidebar.
  2. An Add to People Flow window will appear. Select the flow you want to add them to.
  3. Choose the step or steps you want to add them to and assign an administrator.

Using Mass Manage, Forms, or Other People Flow Steps

To add an individual or a group of people to a flow using Mass Manage or Forms:

  1. Select the option Add to People Flow in the first action dropdown.
  2. Select the People Flow you want to add them to.
  3. Assign the step and administrator.

To add a step to a People Flow from within the flow:

  1. Press the Add Step button.

Editing an Existing People Flow Step

To edit an existing People Flow step:

  1. Select Edit next to the step.
  2. This will bring up a window where you can edit various settings.

Important Settings to Pay Attention To

Due Date

This setting changes when a person is ‘due’ to be completed from the step. For instance, you may want someone to be processed immediately when added to a step, or the step might require that they are processed a set number of days after being added. There are a number of settings available, most of which are relative to the date they were added to the People Flow step.

Hide Pending

This setting changes when people due within the flow will appear on the assigned administrator’s dashboard, relative to when the person is due. For instance, if ‘John Bubble’ is due to be actioned on the 15th of March, and the Hide Pending setting is set to 4 days, John won’t appear on the dashboard until the 11th of March.


This setting changes if you want an email to be sent to the administrators of the People Flow step when someone is added to the step. If this option is selected and a person is added to the People Flow step without being assigned to an administrator, an email will be sent out to all administrators. If they have been assigned to an administrator, only the assigned administrator will receive the email.


These settings allow you to define the People Flow actions that are to be made upon completion of a step. You can choose from a range of actions, allowing you to change people’s information, people categories, groups, etc.

The Automated setting for actions allows you to define whether you want the action to be applied to every person that goes through the step.
