Check In Overview

The Check-in system is designed primarily to allow you to check children, adults or volunteers into services and to keep track of who has attended (when they arrive and when they leave). The check-in system can also be used in conjunction with barcode scanners and label printers to allow staff to correctly identify parents and children.

The labels that are printed using the check-in system can also be customized to show important information such as the parents contact details or any custom fields such as allergies, or medical requirements.

Types of Check-in

There are different ways the check-in system can be used.

Admin Check-in

Admin check-in enables a leader or team member to check individuals in. Access to this area can be limited to specific users responsible for this task.

Self Check-in

Self check-in enables individuals to check themselves in from an unmanned station. In the context of child check-in, a parent could be the one to check-in their children. We’ll go through this more in the next section.

Quick Check-in

Similar to self check-in, however, this type of check-in is used for scanning barcodes to quickly check-in individuals or families. We’ll go through this more in the next section.

Security Codes

Churches have the option of allocating individual or family security codes to people, which can be used in the Check-in process by scanning a barcode, referencing their phone number or their last name. From there, it’s possible to print name tags and parent labels for added security.

Security Codes can be fixed, or you can randomly generate them each time. If you opt for a fixed Security Code (which will be easier for parents to remember), you can also set up the system to generate a Session Code every time a Check-in is made.

For example, a parent might use their Security Code to look up their children each time they check-in. Once checked in, a single-use random code is generated and is printed on screen and on the printed labels. This way you can securely use this random Session Code to identify a parent or child without publicly displaying their Security Code.

Check-in Security Codes are useful when it comes to ensuring all children are accounted for on a Sunday, and it can also accommodate for monitoring important information such as allergies or medical conditions in a classroom.

Reporting 

Attendance data can also be reported on to gain further insight into your Services and Check-in Rooms.
