Accessing Built-in Contact Templates

Introduction:
Elvanto provides a number of built-in contact templates to help streamline your communication needs. These templates can be a great tool for reaching out to your church community in a consistent and efficient manner. This article explains how to edit a Built-in Contact template to suit your specific needs. 

How to Access Built-in Contact Templates

To edit the built-in contact templates in Elvanto, you'll need to follow these steps:

1. Log in as a Super Admin, or Admin with Settings Permissions.
2. Navigate to Settings.
3. Select Built-in Contact Templates.
4. From here, you can select the Contact Template Category and template and edit the template as needed. Click here for further instructions. 





Please note that any changes you make will apply to all future communications using that template.

While the content of the email can be edited, each template may have limitations to what template fields are available and what the template fields display. 

Available Built-in Contact Templates

People
 
  • Send Login Details

    Sent when you tick to send login details to a user.
  • Send Login Details (registered with social media)

    Sent when a new user creates an account with their social media profile.
  • Reset Password

    Sent to a person who requests that their password be reset.
  • Reset Password for Inactive User

    Sent to a person who has requested a password reset when their profile is inactive
  • New Account Notification

    Sent to administrators when a new user creates an account.
  • Family Member Approval

    Used to notify an administrator that a family member requires approval.
  • Person Added to People Flow

    Used to notify an administrator that a person has be added to a people flow they manage.
  • Person Added to People Flow (assigned to administrator)

    Used to notify a people flow administrator that a person assigned to them.
  • Unsubscribe Notification

    Used to notify an administrator that a person has unsubscribed.
  • Member Directory Opt-in Approval

    Sent if you enable the option to ask for approval before adding a person to the Member Directory.
  • Birthday Messages

    Sent to people on their birthday.
  • Anniversary Messages

    Sent to people on their anniversary.
  • People Flow Step Admin Reminder

    Used to notify step administrators that a person within a people flow step is due.

Groups
 
  • Notify Leaders and/or Admins of New People

    Sent to leaders and or admins when a new person is added to their group.
  • Notify Leaders and/or Admins of New Reports

    Sent to leaders and or admins when a new report is submitted to their group.
  • Group Reminder to Submit Attendance

    Used when a reminder is sent to group leaders asking them to report on attendance.
  • Group Reminder to Attend

    Used when a reminder is sent to group member to remind them of an upcoming meeting.
  • Group Unread Message Notifications

    Used to notify group members of unread messages.
  • Notify Leaders of New Group Join Request

    Sent to leaders when a person requests to join a group they lead.
  • Group Finder Request Response

    When a person requests to join a group, this will be sent to them.
  • Accept New Group Join Request

    When a leader accepts a join request, this will be sent to the person wanting to join.
  • Decline New Group Join Request

    When a leader declines a join request, this will be sent to the person wanting to join.

Notes
 
  • Scheduled Note

    Used when a note is scheduled for a person.
  • Rescheduled Note

    Used when a note is rescheduled for a person.
  • Completed Note

    Used when a note is completed.

SMS
 
  • SMS Reply Email

    Used when a reply is sent to an SMS which then triggers an email to be sent to the original sender.
  • SMS Reply Failed Email

    Used when a reply is sent to an SMS but the original sender cannot be found.
  • Original Recipient Doesn't Have Email.

    Used when a reply is sent to an SMS but the original sender doesn't have an email address.

 

Services & Volunteers
 
  • Contact Volunteers (single service)

    Used when contacting volunteers for a single service
  • Contact Volunteers (multiple services)

    Used when contacting volunteers from the edit multiple services page.
  • Notify Reports To Person (confirmed)

    When a volunteer confirms being scheduled on a service, an email is sent (if enabled) to that volunteers Reports To person notifying them of the response.
  • Notify Reports To Person (declined)

    When a volunteer declines being scheduled on a service, an email is sent (if enabled) to that volunteers Reports To person notifying them of the response.
  • Automatically Notify Volunteer That They Have Been Scheduled (Single Position)

    When a volunteer is scheduled, they are automatically notified. This will only function if enabled through settings.
  • Automatically Notify Volunteer That They Have Been Scheduled (Multiple Positions)

    When a volunteer is scheduled, they are automatically notified. This will only function if enabled through settings.
  • Automatically Notify Volunteer That They Have Been Unscheduled

    When a volunteer is unscheduled, they are automatically notified. This will only function if enabled through settings.
  • Follow Up Unconfirmed Volunteers

    After you contact volunteers who have been scheduled onto a service, you might want to follow them up after a certain amount of days as they might have misplaced or forgot about the email. This will only function if enabled through settings.
  • Volunteer Schedule Reminder

    A reminder is sent to volunteers a specified number of days before a service starts to remind them that they are on. This will only function if enabled through settings.
  • Volunteer Swap Request

    Sent when a volunteer requests a swap with another volunteer.
  • Volunteer Swap Completed - Requestor Notification

    Sent to the requestor when a volunteer accepts a swap request.
  • Volunteer Swap Completed - No Response Notifications

    Sent to the volunteers who have not yet responded when another volunteer accepts the request.
  • Volunteer Swap Completed - Accepted Volunteer Notification

    Sent to the volunteer who accepts a swap request.
  • Volunteer Swap Completed - Reports To People Notification

    Sent to the reports to people when a volunteer accepts a swap request.

    Sent to the requestor when all volunteers have declined their swap request.
  • Volunteer Swap Canceled - Requestor Notification

    Sent to the requestor when their swap request has been canceled.

    Sent when a volunteer requests to be replaced by another volunteer.

    Sent to the volunteers who have not yet responded when another volunteer accepts the request.

    Sent to form administrators when a submission has been made.

    Default message sent to people who are invited to an event when manually contacing guests of an event.
  • Automated Invitation

    Default message sent to people who are invited to an event when contacting guests of an event as you invite them.

 

Event Registration
 
  • Event Registration Invoice

    Sent to billing contact when a new payment has been added to their invoice. Updated invoice is attached to this email.
  • Event Registration Invoice and Tickets

    Sent to billing contact when a new registration or transaction has completed. Invoice and tickets are attached to this email.

 

Reports
 
  • Report Emails

    Sent to people who have report emails scheduled.

Assets
 
  • Asset Booked

    Sent to asset administrators when an asset has been booked.
  • Asset Booked (approval required)

    Sent to asset administrators when an asset has been booked requesting approval.
  • Asset Approved

    Sent when an asset has been approved by an administrator.
  • Asset Declined

    Sent when an asset has been declined by an administrator.
