Scheduling Preferences

Elvanto allows you to set preferences on how often you’d like to serve in different services and departments. When your leader or administrator is creating rosters for future services, they will be notified if a service or department they are wanting to schedule you on suits your preferences.

It’s important to note that your leader and administrator can still use their discretion and ignore your preferences if required. If you find that you’ve been scheduled on a service or department that does not match your preferences, make sure you get in contact with them.

Setting Up Your Preferences

  1. Your scheduling preferences can be managed by going to your Profile.
  2. Once the page loads, click on the ‘Scheduling Preferences’ link in your sidebar.
  3. From this page, you can choose how often you’d like to serve. You can limit how many services per month and per day. You can also specify how often you’d like to serve per department.
  4. Click Save

Managing Volunteer Preferences from the Admin Side

  1.  From the Admin Dashboard, navigate to People > All People > select a People Category.
  2. Type the name of your volunteer into the search bar and click enter on your keyboard. 
  3. Click the volunteers name. Once the profile page loads, scroll down until you see the Action Panel on the left hand side. Select 'Volunteer Preferences'.
  4. Adjust volunteer preferences on behalf of your volunteer and click 'Save'.

When your volunteers set their scheduling preferences, they can choose how many services they are able to serve at. Since services can have multiple service times attached to them, you will need to determine how Elvanto counts services. Navigate to Settings > Services > Roster and scroll to the bottom of the page. This setting allows you to choose whether to treat a service time as its own service or not. What you set this to depends on how you structure your teams of volunteers. For example you might have a single service that has two service times: an 8AM and 10AM service. If the same volunteers serve at both services, you would want to count both service times as a single service. If you have different volunteers at each service, you would want to count each service time as a service.

In conclusion, Elvanto allows you to set and manage your scheduling preferences to ensure your availability is respected when rosters are created. While leaders can override these preferences if needed, communication with your leader is key if any discrepancies arise. Both volunteers and administrators can easily adjust preferences within their profiles, making the scheduling process smooth and efficient for everyone.
