File Storage

Elvanto allows you to upload, store, and share up to 10GB of files in its File Storage module. This feature is particularly useful for managing things like church policies, logos, and images. Here's how to make the most out of this tool.

Uploading and Organizing Files

Uploading Files

  1. Navigate to Files in the Admin Area.
  2. Click ‘Add File’.
  3. Browse for a file on your computer or drag and drop the file into the space provided.
  4. Provide a title and any relevant details for the file, including its publication status, expiration date, and access permissions.
  5. Click ‘Save’ to upload the file.

Organizing Files

  1. Navigate to Files > Folders.
  2. Click ‘Add Folder’ to create a new folder.
  3. Name the folder and set folder access permissions.
  4. Move files into the appropriate folders to keep your File Storage organized.

Locking Down Files and Folders

Both files and the folders they reside in can be locked down to ensure only specific individuals have access.

Setting File Access

  1. When adding or editing a file, choose who can view it under ‘File Access’.
  2. Select any lockdowns you wish to apply. For example, you can restrict access to the Worship Team department.
  3. Ensure you check ‘Only members can view this file’ or ‘Only the people assigned to the Lockdown areas below can view this file’ if lockdown areas are applied.

Setting Folder Access

  1. Navigate to Files > Folders.
  2. Click on the folder you want to edit.
  3. Set access permissions to restrict who can view the contents of the folder.
  4. Make sure to check ‘Only Members Can View This Folder’ if you want to activate lockdown areas.

Managing File Versions

Uploading New Versions

  1. Click on the file you wish to update.
  2. Go to the ‘File Versions’ tab.
  3. Upload a new version of the file.
  4. Choose whether to archive the currently published file or delete it.

Viewing Previous Versions

  1. Navigate to the ‘File Versions’ tab for a file.
  2. View and manage all previous versions.
  3. Choose to republish a previous version if needed.

Regular Maintenance

Checking for Outdated Information

  1. Regularly review your files and folders to ensure they contain up-to-date information.
  2. Remove or archive outdated files to free up storage space.

Keeping Important Data

Ensure there’s always space for important data like logos, policy manuals, and church reference material by routinely managing your file storage.
