How to Automatically Email Reports

Nobody enjoys the hassle of exporting and emailing reports manually, so we've eliminated that step for you. Elvanto allows you to effortlessly schedule reports to be automatically sent out via email on a regular basis, ensuring that you always stay up-to-date without any extra effort.

Scheduling automated Email Reports

  1. Access your Elvanto admin dashboard and navigate to Reports. 
  2. A list of all Custom and Comprehensive Reports will populate. Select the report you would like to send out on a regular schedule and click 'Email'.

  3. From the pop up, choose 'Schedule a new Email'.
  4. Follow these steps to scheduled email:
    1. Select a frequency. You can choose between: weekly, bi-weekly, monthly, every 3 months, every 6 months, or yearly.
    2. Set a start date and approximate time. Please note: due to different timezones, the time you set can only be an approximate time. Elvanto will attempt to send your email within 1 hour of the selected time.
    3. Add your recipients by searching for their names. 
  5. Click 'Add optional message to email' to include a brief message in simple text format to your email recipients. 
  6. Lastly, click 'save'. 

Remember, the recipients of scheduled email reports will always have access to viewing the report, even if your report has been made private and the recipient of the email has not been given sharing access to the report. 

 

How to Schedule Built-In Reports 

  1. Access your Elvanto admin dashboard and navigate to Reports > All Built-In Reports. You can also narrow down your search by selecting a specific reporting category such as 'People' or 'Financial'.
  2. A list of all available Built-In Reports will populate. Select the report you would like to send out on a regular schedule and click 'Email'.

  3. From the pop up, choose 'Schedule a new Email'.
  4. Customize your report. The options will vary based on the selected report, but will typically include: date filter, different types, locations, and the ability to add additional people columns. The example below shows a batch report prepared to display activity over the last 7 days. We have chosen to show totals per account (this report will be anonymous) pulling from all funds and giving methods.
    Note: by leaving all check boxes deselected, Elvanto will by default report on all accounts and all methods. You can chose various accounts and/or methods to narrow down your search. 
  5. Click 'Preview' to see an example of your prepared report. This screen will additionally allow you to:
    1. Export your report.
    2. Share it via link. Keep in mind, because this is an existing report, only people with access to Reports in the Admin Area can view this report. If you would like to share this report with specific people, export this report to Snapshots.
    3. Edit your report. 
  6. Once you are satisfied with your report, navigate back to your previous tab and select 'Next'.
  7. Follow steps 4-6 from the previous section.

Built-In Reports require people to have access to Reports in the Admin Area. Once a recipient receives a report, they will be prompted to log in to Elvanto, before they will be able to view the report. 

Viewing Scheduled Email Reports 

Super Admins have the ability of viewing all scheduled report emails, scheduled by them or others. The list can be found under Reports > Scheduled Report Emails.
