Dealing with duplicate records in Elvanto? It's a frequent challenge faced by users managing multiple accounts. Whether it's unnoticed duplicates or system-unrecognized records, consolidating these entries is crucial for database integrity. Fortunately, Elvanto provides a straightforward solution for merging these duplicates, streamlining your account management process.
How to Merge Duplicate People in Elvanto

Login to your Elvanto Admin account.

Hover on the People section in the main menu on the left-hand side.

Once the menu pops out to the right, click on Duplicates in the list. This will load all the duplicates that have been detected.

Click on the Merge with duplicates link underneath the profile you would like to remain the primary profile in the system.
If both profiles have information stored for the same field and there is a difference in the data, the information in the primary profile will be the data that is maintained.

This will open up a window that allows you to choose to change the Primary Profile clicking Make Primary Profile, and then select each field that you would like to merge into the Primary Profile, if there is not conflicting data.

As you scroll down the page, you can compare the information from both profiles. If you would like the secondary profile’s information to be used, simply click on the field and it will highlight.

Once you are happy, click the green Merge Duplicates button at the bottom. If you have more than one person with a duplicate profile, you will automatically be taken to the next duplicate to make it quick and easy to merge all your duplicates at once.
❗ Important Note: The Elvanto Support team is unable to un-merge profiles once they have been successfully merged together. Please carefully consider what you choose to keep and discard in the merging process.
Mark person as Not a Duplicate
If you have people appearing in your duplicate list that are not actually duplicates you can easily mark them as Not a Duplicate to keep them from appearing in the duplicate list. To mark someone as Not a duplicate:

Login to your Elvanto Admin account.

Hover on the People section in the main menu on the left-hand side.

Once the menu pops out to the right, click on Duplicates in the list. This will load all the duplicates that have been detected.
- Click on the Not a duplicate link underneath the profile you would like to indicate as being not a duplicate. This will keep this profile from appearing in the duplicates list.
If you have discovered duplicates in your church account that aren’t appearing when you view duplicates, chances are at some point they’ve been marked as ‘Not a duplicate’ from within your Elvanto account. To unmark them as Not a Duplicate and have them return to the duplicates page so they can be merged:

- Under the search bar at the top click the blue View 'Not Duplicates' List button.
- Find the individual who is a duplicate and click the Remove 'Not Duplicate' Record under their name. Once this has been performed, the person should reappear in the Duplicates list.
Why are my Duplicate Profiles not showing?
To ensure your duplicate profiles appear correctly in the duplicates list, follow these steps:
- Confirm that both profiles have identical first and last names. Additionally, consider updating the email address and phone number to match exactly. This helps the system identify them as duplicates more accurately.
- Review whether either profile was previously labeled as 'Not Duplicate' by referring to the instructions in the previous section.
