Volunteer scheduling in Elvanto is done for each service individually, and utilizes information inputted from within your departments to allocate people to positions.
Within each service, you have the option to use either the inbuilt auto-scheduling feature, manually add volunteers or even use both. You can also assign call times, which is handy for any pre-service meetings you might have.
As well as being able to edit services individually, you can select to edit multiple services at once by using the edit multiple services feature, which comes in handy when rostering several weeks in advance. You can also drag and drop volunteers between services making it much faster to create rosters.
We currently have an open BETA available to test out a new method of scheduling volunteers onto a service. This article looks at both the old method and the new method currently in Beta.

You can schedule a volunteer onto a service by editing the service and clicking on the ‘Volunteers’ tab.
You can then click the ‘ Volunteer’ button at the top or click on the sign next to a specific position you’d like to schedule.
You can also schedule on service teams or use our auto-scheduling tool to speed things up.
Choose the volunteer you’d like to schedule on. You can find them based on their position or even search for a specific person. You can also filter by location or service type to make searching for specific volunteers easier.
Once you select a person, you’ll be taken to a screen to confirm a few such as their status, the position and their assigned times. Once you’ve finished, click the ‘Roster Volunteer’ button to add the volunteer to the service.
Handling conflicts
If you try to schedule a volunteer onto another position during the same service, or within the ‘Conflict’ time set under Service Settings, it will show up a ‘Conflict’ message next to the person’s name.
If you choose to assign the person on for the roster, it will show a ‘Conflicts’ message on the top of the volunteer window, and prompt you to ‘Find Another Volunteer’. The conflict is only a warning, and will not prevent you from rostering the volunteer on, if you choose to do so.

You can schedule a volunteer onto a service by editing the service and clicking on the ‘Volunteers’ tab.
You can then click the ‘ Volunteer’ button at the top or click on the sign next to a specific position you’d like to schedule.
If you haven’t already, you’ll need to click the Try the new Version link to use the new system.
This will open a window similar to this:
You can then expand the list of Departments to look at a specific Sub-Department.
When you choose a position you want to schedule volunteers on for, you can then click the “Filter” button.
This will apply filters on the right hand side of the screen, and adjust the list of volunteers accordingly.
Once you have the list of volunteers filtered to your needs, you simply click on a volunteers name and drag them onto the position you want to schedule them on for.
You can repeat this to schedule on multiple volunteers at once. Once you’re happy, press the “Save” button to close the window.
Until you hit “Save” the volunteers won’t actually be scheduled on. They’ll be in a “Tentative” state until that time. Other admins can also be scheduling on at the same time, and you’ll be able to see the changes they’re making too.
