Under the ‘People’ section of Access Permissions, there is the ability to restrict access to people. In your account, you may have people who lead groups you want to limit their viewing access. You may also want to limit specific users so they can only see people in specific categories.
Can only view specified People Categories
Similar to lockdowns, this option locks a user’s viewing access to specific People Categories.
Can only view people within Groups they lead
Selecting this option limits the user to only view people within the groups they lead. This will override lockdown locations, demographics, departments and people categories.
For example, if a user (group leader) was locked down to your ‘North Campus’ location and they led a person from your ‘Central Campus’ location, this person would still be visible to the user (group leader).
Can only view people within Groups they are a part of
Similar to the ‘groups they lead’ lockdown, this option will lock down a user to only view people within the groups they are a part of. Unlike the ‘groups they lead’ option above, though, this does take into account other lockdowns applied to the user’s account.
An example of this could be if they were in a group and also locked down to the ‘Adults’ demographic. If there was a person in their group who was assigned to the ‘Children’ demographic, the user would not be able to view that person in the system because of their lockdown.
Can only view people within Group Categories they administer
Selecting this option limits the user to only viewing people within the group categories they administer. This will override lockdown locations, demographics, departments and people categories.
For example, if a user (group category administrator) was locked down to your ‘North Campus’ location and they led a person from your ‘Central Campus’ location, this person would still be visible to the user (group administrator).
For normal members we do not recommend giving them access to people. We recommend using the Member Directory to allow your members to have access to contact details for other members.
Most churches will allow Group Leaders to view the profiles and contact people in their group. You’ll want to decide on if you want your group leaders to have access to more information, or if you want them to be able to see information about other people as well.
The access pastors need will depend on their role within your church. Some pastors may need to access the data for all members, but some may only need access to the people within the small groups they look after. We’d recommend having different access permissions for the different possible roles your Pastors can have within your church.
